YOUR BOOKING, CLEARLY PLANNED
Send confirmed match and training dates, team hotel details and venue addresses. A fixture start time is not the vehicle reporting time: organisers need room for kit loading, travel, gate checks and the team’s preparation routine. Mark provisional fixtures separately. Udan Travel supplies the road duties accepted in writing, without arranging competition entry, venue access or priority through event security.
Players are only part of the passenger list. Include coaches, managers, medical staff, officials and any guests using the same vehicle. Request 21 Seater Mini Bus, 27 Seater Mini Bus, 29 Seater Mini Bus or 45 Seater Large Coach after including the full party. Match the offered seating and luggage arrangement to the actual need rather than selecting by the squad size alone.
State the number of suitcases, personal kit bags and bulky equipment pieces, with dimensions where useful. A passenger coach is not automatically suitable for oversized or specialist freight. Equipment should be packed and handled under the team’s arrangements. Ask whether a separate vehicle is needed rather than assuming all kit fits beneath the seats or that the service insures high-value sporting goods.
Stadiums and training grounds may have different entrances for teams, spectators and service vehicles. Confirm the team’s authorised gate with the event organiser and provide any relevant vehicle reporting instructions. The coach can use only permitted access. Have a reachable team manager at pickup and agree where everyone regroups after the match, when crowds and temporary restrictions may affect collection.
A coach making two hotel-to-venue transfers is different from one held at the team’s disposal all day. Explain whether players return between sessions, whether staff need a separate movement and when the final hotel drop is expected. Extra trips, waiting, late finishes and changes should have clear terms. A tournament schedule can shift, so identify who may authorise revised duties.
The team or organiser remains responsible for supervision, medical arrangements, consent and any protective security. A standard passenger coach is not an ambulance, accessible medical transfer or emergency service. If a participant has a practical boarding or mobility need, describe it early and ask about suitability. Do not send player medical records in a general transport enquiry.
Include flight waves, hotel stays, training, matches and the last airport movement. Check the vehicle, driver duty, luggage arrangement, parking, road charges, applicable taxes and change terms. Ask for the treatment of a fixture postponement or late match finish. No vehicle should be assumed reserved until availability and the required confirmation steps have been agreed.
