Arrange multi-venue event transport in Delhi NCR for hotel, ceremony, dinner and private-event movements. Build a sequence for each guest group so Udan Travel Ind Services can assess the vehicle allocation, waiting and final returns.
Private-event organisers and agencies · Trip-specific scope and quotation
A programme with several venues is more than a set of addresses. Identify which guests attend each stage, where they start and where they finish. Organisers, performers and invited guests may need different reporting times. Keep passenger transport separate from equipment logistics. If a group skips one event and travels directly to dinner, show that route instead of assuming everyone follows the same vehicle. A clear sequence helps prevent a shuttle being assigned to incompatible movements.
For each leg, include boarding, road travel, entrance checks, unloading and any return to collect another group. A venue-to-venue transfer can take longer than the map drive when several groups leave together. Check whether the vehicle stays with guests, waits elsewhere or returns for a later collection. When the programme changes, review every following run. Do not solve a late departure by removing all buffers from the remaining schedule or expecting one vehicle to be in two places.
Share actual entrance pins and instructions from each property. A hotel entrance suitable for a car may not accommodate a mini bus. Give any walking, luggage or mobility needs before selecting the vehicle. Confirm legal boarding points and where waiting is allowed. An event invitation or venue booking does not itself establish transport parking permission. Where the approach requires a smaller local transfer, request it explicitly and identify how guests will move between the vehicles.
Agree who releases each batch, updates the schedule and approves extra use. Give guests clear boarding windows rather than allowing conflicting instructions from multiple people. A driver should not be assumed to manage guest invitations, attendance or a private contact database. Review the final return before the event: one departure, several waves or separate hotel clusters. The written proposal should distinguish fixed transfers, repeated shuttles and retained standby so additional movements can be priced consistently.
An event can have a larger main group, a smaller early-return group and organisers who stay later. Give each a movement reference, headcount and responsible contact. If vehicles are reassigned during the programme, agree the handover rather than assuming the original driver remains with every guest. Late changes should update the complete sequence, including final drops. This makes the service request measurable and helps the organiser compare transfer-only proposals with retained event transport.
This is an illustrative planning example, not a past-client claim, fixed package or confirmed vehicle allocation. Adapt it to the actual dates, locations and group.
| Stage | Requirement | Planning decision |
|---|---|---|
| Start | Hotels to first venue | Allocate separate guest batches where needed. |
| Middle | First venue to dinner / next event | Check cycle time and property access. |
| Standby | Vehicle retained or released | Define the service window and waiting location. |
| Finish | Final venue to hotels | Agree departure waves and authorised last release. |
Use published seating options to shortlist a category, then confirm the actual allocated vehicle, approved passenger places, luggage fit and requested facilities. A category photo does not establish availability or suitability for every route.

Share the specific operating details in the enquiry below. A draft request or general quotation does not reserve inventory. An extra stop, shift, service day or changed final drop needs an agreed scope review.

No. Preparing a draft does not send it or reserve a vehicle. Booking follows confirmed availability, an accepted proposal and the agreed process.
