Plan corporate training transport in Delhi NCR for office-to-training-centre transfers, induction batches and residential programmes. Share the session deadline, pickup offices and participants per movement so Udan Travel Ind Services can assess a suitable transport arrangement.
HR, training and learning teams · Trip-specific scope and quotation
The first training session is an arrival deadline, not the pickup time. Allow participants to leave the vehicle, walk to registration and reach the room. Send the centre’s entrance instructions and the time registration opens. If people collect equipment or breakfast before training, show this separately. A group arriving together at one office point is different from a vehicle collecting participants from multiple residential locations. Quote the actual programme rather than a broad request for an office bus.
List the participant count at each office and the boarding window. Compare a consolidated departure with several direct runs when offices are far apart. The longest detour matters to the participant who boards first. For two batches, check whether the same vehicle can unload and return before the next departure; include the complete cycle. Share any attendance range and agree how the final count will be confirmed. Do not assume that a higher total registration means the same number travels on every run.
For a day session, decide whether the vehicle remains available or returns at release time. A lunch trip, site visit or early departure is not automatically included. For residential training, specify the outward day, overnight base, any local movements and the return day. Participants may have suitcases on the transfer days but only small bags during the programme. Hotel accommodation, meeting facilities, food and training materials are separate unless expressly included in the written proposal.
Nominate one HR or training contact to confirm the final participant load, assembly point and release. A passenger vehicle does not provide attendance supervision or a training coordinator unless agreed. Request a practical reporting and change process for late releases or another batch. If a participant needs a separate return, ask for a revised arrangement before treating it as part of the group service. Share only the operational passenger count in the initial enquiry; a private employee database is unnecessary.
If a session runs late, the transport contact needs one clear instruction from the organiser. Decide in advance whether the whole group waits or an earlier batch needs separate transport. For repeated training days, review attendance and office changes before each service. A vehicle suitable for the initial batch may not fit a later group with more participants or residential luggage. Record the accepted changes so the next day does not rely on an outdated movement sheet.
This is an illustrative planning example, not a past-client claim, fixed package or confirmed vehicle allocation. Adapt it to the actual dates, locations and group.
| Stage | Requirement | Planning decision |
|---|---|---|
| Planning | Two office clusters | Compare one consolidated departure with separate runs. |
| Morning | Training-centre arrival | Set the registration deadline, not only the session time. |
| During programme | Retained or released vehicle | State any lunch trip or visit explicitly. |
| Return | Batch release to offices | Agree the last release and separate-drop requests. |
Use published seating options to shortlist a category, then confirm the actual allocated vehicle, approved passenger places, luggage fit and requested facilities. A category photo does not establish availability or suitability for every route.

Actual available vehicle photos and the seating layout will be shared on WhatsApp or email before booking confirmation.
Compare the same dates, passenger load, route and service windows. Direct transfers, repeated shuttles and a retained vehicle have different scopes. Ask the offer to show:
Share the specific operating details in the enquiry below. A draft request or general quotation does not reserve inventory. An extra stop, shift, service day or changed final drop needs an agreed scope review.
The two-step form prepares a context-rich WhatsApp or email draft for your review. Include the first service date and the complete movement requirement.
Only if the complete reporting, travel, unloading and return cycle fits both schedules. Request a timing review.
Send each day’s batch, pickup locations and release times. A repeated route and a residential programme have different scopes.
Only when retained use or the lunch movement is included in the quotation.
Give the expected range early and agree when the final load must be confirmed. Capacity and baggage fit still need review.
No. Preparing a draft does not send it or reserve a vehicle. Booking follows confirmed availability, an accepted proposal and the agreed process.
