A trek name may describe a trail rather than a place accessible to a passenger vehicle. Ask your trekking organiser for the exact roadhead, reporting pin, local contact and the last point suitable for the requested vehicle. Send those details with the dates. Udan Travel’s road quotation does not include trekking, guides, permits, porters, trail access or an assurance that a named destination can be reached by Tempo Traveller.
Build the first transfer around arrival and rest
For a Delhi airport start, share the group flight and the planned assembly arrangement. Consider whether you need a Delhi hotel night or an intermediate road halt before meeting the trek operator. International arrivals, luggage handling and the onward road sector are distinct parts of the day. A realistic schedule should not depend on every participant clearing the airport at an exact minute.
Count backpacks and equipment separately
Provide the travellers, checked bags, large backpacks and bulky group kit. Request 12 Seater Maharaja, 16 Seater Luxury, 20 Seater Luxury or 26 Seater Luxury Tempo Traveller, then ask the team to check storage and the actual offered seating. These options can price differently. If the trek ends at a different roadhead, give both points; a circular trekking route does not mean the road vehicle has the same journey.
Agree what happens if the trek finishes late
Tell the booking team how the trek operator will communicate a revised finishing time. A delayed descent, an extra trek day or a changed roadhead may affect driver duty, waiting, accommodation and vehicle availability. Set a practical contact and handover arrangement before departure. Never rely on this transport booking as a substitute for your organiser’s communications, emergency plan or travel insurance.
Confirm the whole road assignment in writing
The offer should name both roadheads, dates, vehicle, passenger and bag requirements, intermediate stays and final Delhi drop. Check road charges, driver allowance, parking, applicable taxes and extra waiting. Include any onward flight so the final road sector can be reviewed sensibly. Trekking services and local connections remain separate unless expressly accepted in the quotation.

Does this booking include the trek itself?
No. Trek leaders, permits, equipment, accommodation on the trail and rescue arrangements are outside this road-transport service.
Can a Tempo Traveller reach any trek base?
No. Share the operator-confirmed roadhead and current access information. A different meeting point or separate local vehicle may be required.
Is luggage storage guaranteed for every backpack?
No automatic allowance is promised. Send the number and size of bags and group kit so the offered vehicle arrangement can be checked.
Will the same vehicle wait while we trek?
Only if a retained duty is expressly agreed. Otherwise, outward and return transfers should be booked and priced separately.
What if our group returns a day late?
Notify the booking contact as soon as the trek operator confirms the change. Extra waiting or revised dates depend on availability and the accepted change terms.
Is this an emergency evacuation vehicle?
